1. Application of these terms
These terms govern use of the ShuleSasa public website, self-service demonstrations and account access. Use the service only if you have authority to act for yourself or the institution you represent. Production service scope, the contracting supplier, fees, support, data processing and any service levels must be specified in the accepted order or signed institution agreement. That agreement prevails if it conflicts with these website terms. Browsing, requesting information or opening a demo does not by itself create a paid subscription.
2. Accounts and authorisation
Provide accurate registration and institution details. Keep credentials confidential and grant access only to authorised users with duties that require it. Institution administrators are responsible for managing their users, permissions and exported records. Notify us promptly about suspected account misuse. Do not share credentials in public forms or support messages. Accounts must not impersonate another person or institution. We may verify account information before enabling sensitive functions.
3. Demonstration environment
Demo access is provided for product evaluation using fictional data in a browser session. It is not a production institution account and does not include a live wallet, real SMS delivery or real financial settlement. Do not enter confidential or real learner, guardian, staff or payment records in a demo. Demo records may be reset or expire and should not be relied on for record retention. Interface previews illustrate workflows; availability in a production account depends on its agreed scope and configuration.
4. Institution data and responsibilities
The institution retains its rights in the records it supplies. It authorises processing only as needed to provide, maintain and secure the agreed service. The institution must have a lawful basis for collection, upload, access and communication, including any required permission concerning children. It must check imported data, fee structures, assessment rules, attendance and reports before relying on them or publishing them. ShuleSasa does not make admission, employment, disciplinary or credit decisions for an institution.
5. Acceptable use
Do not access another institution’s records, bypass authentication, probe systems without written permission, upload malicious code, interfere with availability or use the service for unlawful, deceptive or abusive activity. Do not use contact details obtained through the service for unsolicited marketing. Security concerns should be reported privately through the Contact page with enough information to investigate, without disclosing unrelated personal data. Automated access requires explicit authorisation unless a documented public interface permits it.
6. Pricing, orders and renewal
Published prices identify the country, currency, plan and billing period. Review the final order, learner limit, taxes where applicable, setup or migration charges, SMS credit and payment-provider fees before accepting a paid service. A request for a quote is not an order. No automatic recurring debit is authorised merely by opening an account or selecting a plan. Any renewal, price change, cancellation deadline and recurring payment authority must be disclosed in the order or institution agreement.
7. Payments, wallets and messages
A recorded payment is not proof that a provider has settled funds. Live provider functions become available only after configuration, ownership verification and any required provider approval. The account holder must complete OTP and PIN steps personally; never disclose these codes to support staff. Provider terms, currency, fees, limits and settlement rules apply. Check the recipient, amount and reference before confirming an operation. SMS campaigns require authority to contact the recipients, an approved sender where required and available credit. Delivery is not guaranteed by submission alone.
8. Cancellations and payment disputes
Cancellation and refund rights are those in the accepted order, institution agreement and mandatory law. These website terms do not promise an unconditional refund or waive rights that cannot lawfully be waived. Report an incorrect charge promptly with the invoice or provider reference; do not send card details, passwords or PINs. A disputed or duplicate payment requires verification against provider records before adjustment. Payment reversals and refunds remain subject to the provider’s process and any applicable legal requirements.
9. Availability and support
We maintain and improve the service, but this website does not establish a guaranteed uptime, recovery time or round-the-clock support commitment. Maintenance, connectivity problems, security action and third-party outages may affect access. Support hours, response targets, backup arrangements and service levels must be agreed for the institution’s production service. Keep appropriate copies of exports and verify essential records. A feature described as pending or requiring activation must not be treated as operational.
10. Intellectual property and external services
ShuleSasa and its licensors retain rights in the software, branding and original website materials. Institution data remains subject to the institution’s and data subjects’ rights. Access does not transfer ownership of the software or permit resale, copying or use of branding without permission. Third-party marks and services belong to their respective owners. Links to external services do not create a partnership or endorsement, and their operators are responsible for their own services.
11. Suspension, closure and records
Access may be restricted where reasonably necessary to address a security threat, unlawful use, a valid legal requirement or a material breach of the applicable agreement. We will seek to give notice where practicable and lawful. Suspension is not an automatic instruction to erase institution records. Account closure, export assistance, retention and deletion should be resolved under the institution agreement and applicable recordkeeping obligations. Contact us before ending service if an institution needs a record export.
12. Liability and legal rights
Responsibilities and liability for a production service are governed by its signed agreement and applicable law. Nothing in these terms excludes liability that cannot lawfully be excluded, including applicable rights concerning fraud, deliberate misconduct or data protection. Subject to those rights, website information and demos are supplied for evaluation without a promise that they meet a particular institution’s operational requirements. Do not use a public demo as the sole basis for financial, academic or statutory records.
13. Disputes, updates and contact
Raise a concern through the Contact page or +255 769 300 005 with the account, institution and relevant reference. We will seek to resolve it through the agreed service contact. Governing law and dispute resolution for a production service must be identified in the institution agreement; mandatory local rights remain applicable. Updates to these terms show a revised date. A material change to an existing paid service is subject to its agreement and applicable notice requirements. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.
Registration, access and licences
Product videos are publicly available without registration. A 14-day card-free trial is available. After trial expiry, the operational workspace requires a provider-verified paid entitlement. Monthly and annual plans expire at the end of the paid period. A one-time licence grants continued use of the current software for one institution; it does not transfer copyright or source-code ownership. SMS credits, third-party payment fees, additional hosting or support services are subject to the applicable order. Do not submit real student information in demonstration material.
